Done-for-you automation for real estate & service businesses

Automations that answer your leads and handle the busywork.

I'm Frank. I spent four years as an Operations Manager for independent real estate agents and real estate teams, so I know how much time goes into managing leads, scheduling appointments, and keeping a business running. Now, I build AI automations that handle those repetitive tasks for real estate professionals and service businesses.

✓ No obligation · ✓ Works with your existing tools · ✓ Tested before launch · ✓ Support after launch

What I kept seeing

The same small tasks, every single week.

Supporting a real estate team, I got good at one thing: noticing what's about to slip and fixing it before anyone has to ask. But the same tasks kept coming back every week: the same replies, the same copy-and-paste, the same reminders.

01 Leads wait too long

A new inquiry comes in while you're showing a property. By the time you reply, they've called someone else.

02 Back-and-forth to book

Five emails just to find a time for one appointment, then another to remind them.

03 Onboarding by hand

Every new client means the same welcome email, the same forms, and the same folders, typed out again.

Where would you like to start?

Pick the one that sounds like you. It takes you straight to the demo.

My work

Three systems I've built

I built each of these for a made-up business so you can see exactly how it works before we talk. Watch the demonstration video, then picture it running with your own forms, inbox, and calendar.

Demo 01 · Lead qualification

Every lead answered in seconds, and the best ones called first

Ideal for: real estate agents and small teams. Also works for mortgage brokers, insurance agents, and home-service companies that get inquiry forms.

Solves: leads going cold while you're busy, and guessing who to call first.

At a glance

Ideal forSolo real estate agents and small teams who get buyer and seller inquiries through a website form. Also adaptable for mortgage brokers, insurance agents, and home-service companies.
Problem it solvesLeads arrive while you’re at a showing. A slow reply loses them, and when every inquiry looks the same, you call browsers while a ready buyer waits.
How it works
  1. Buyers and sellers fill in a short two-step form with their own questions.
  2. Each lead is scored out of 100 and labelled Hot, Warm, or Cold.
  3. The lead gets a personal reply in your voice within seconds.
  4. You get an alert with a call-back deadline: 5 minutes for Hot, 1 hour for Warm.
  5. If you haven’t called by the deadline, you get a reminder.
ResultEvery lead answered day or night, the best ones called first, and none forgotten.
Time savedAbout 6 hours a month for an agent with about 30 inquiries a month (estimate).
ValueFaster follow-up wins deals. One extra closing a year can be worth thousands in commission.
ExtrasSellers are offered a free market analysis. Fair-housing risks in a question are flagged. Spam and duplicates are handled.
Works withYour website form, Gmail, and Google Sheets or your CRM. Built in n8n.

Questions about this demo

  • What if a Hot lead comes in at 3 AM?They get their reply instantly. Your call-back deadline only counts your working hours, so a 3 AM lead is due shortly after you start your day.
  • What if the lead is outside my area? It’s labelled Out of area, so you can refer it to a partner agent for a referral fee instead of chasing it.
  • What if they already have an agent? The form asks, and the alert reminds you to check before offering your services.
  • What if they leave the form halfway? If a lead stops after the first page, you still get the alert 30 minutes later, clearly flagged.
  • Can my assistant get the alerts too?Yes, if you want. Otherwise every alert and reminder goes only to you.

What you’ll need to get started

Your website or a link to share the form, a Gmail or Google account, the cities or ZIP codes you cover, your working hours, and a sense of how you like your replies to sound.

Demo 02 · Lead to booking

Turn social posts into booked appointments

Ideal for: service companies like cleaning, landscaping, pest control, handyman and contractor work, pet grooming, and mobile detailing.

Solves: missed after-hours enquiries, slow quotes, and posting only when you remember.

At a glance

Ideal forService companies that quote jobs, like cleaning, landscaping, pest control, handyman and contractor work, pet grooming, and mobile detailing.
Problem it solvesPosting only when you remember, missing enquiries that come in after hours, and taking a day or more to reply to a quote. By then the customer has booked someone else.
How it works
  1. Each week it drafts your social posts and a branded graphic for each, all linking to your quote form.
  2. Every quote request is saved, and you’re alerted within a minute, day or night.
  3. You approve or decline in one click, straight from your email.
  4. An approved quote becomes a personal booking invitation in about a minute.
ResultEnquiries answered in minutes, not days, a steady social presence, and every request tracked as New, Approved, or Declined.
Time savedAbout 3 to 4 hours a week for a business with about 20 enquiries a month (estimate).
ValueIf faster replies win two extra $250 jobs a month, that’s about $500 a month (example).
You stay in controlAI drafts the posts and replies. Nothing reaches a customer without your approval.
Works withYour quote form, Gmail, and Google Sheets and Drive, with AI drafting by Claude or OpenAI. Built in n8n.

Questions about this demo

  • Will the AI post or reply without me?No. The week’s posts and graphics are saved to a content calendar for you to review, and every booking invitation waits for your approval.
  • How do I approve a quote? From the alert email: one link, with the request already filled in. Add the price and a short note, then submit.
  • What does the customer receive?A personal booking invitation with their own job details pulled in, about a minute after you approve.
  • How do I know which quotes I’ve answered?Every request shows a status: New, Approved, or Declined.

Demo 03 · Client onboarding

Solves: new clients waiting days to hear from you, and the same setup typed out every time.

Ideal forAgencies, consultants, coaches, bookkeepers, and freelancers who sign new clients every month. Also real estate teams welcoming new buyers and sellers.
Problem it solvesOnboarding by hand is slow and different every time. When you’re busy, a new client waits days to hear anything, right when first impressions matter most.
How it works
  1. The client fills in one short sign-up form.
  2. Repeat sign-ups, typo’d emails, and past dates are caught first.
  3. The client is logged with a reference number and gets a shared folder with a welcome pack.
  4. The kickoff call is booked with a Google Meet link, weekends avoided.
  5. The client gets a welcome email, and you get one summary with every link.
ResultEvery client welcomed in about 15 seconds, organised from day one, with a clear status for each.
Time saved30 to 45 minutes per client, or about 4 to 6 hours a month at 8 new clients (estimate).
ValueClients who feel looked after from day one are more likely to stay.
Built-in safetyThe welcome email is a fixed template with the client’s details, so it says the same thing every time.

Questions about this demo

  • Who picks the kickoff date? The client picks a start date on the form. The kickoff is booked for 10:00 AM that day, or the next Monday if it falls on a weekend. If you need another time, move the event and Google updates their invite.
  • What if a client signs up twice? They see a “welcome back” page instead of getting a second folder or email.
  • What if someone types their email wrong?Bad emails and past start dates are flagged for you to check, and no email is sent.
  • Does AI write the welcome email? No. It’s a fixed template filled in with the client’s own details, so it says the same thing every time.

How it works

What working together looks like

No big project and no jargon. We start with the one task that costs you the most time, and build from there.

1 Let's talk about your business

We'll start with a free 30-minute call. Tell me how you currently work, what takes up most of your time, and what you'd like to improve. I'll help you identify where automation could make a difference.

2 I'll build and test your automation

Once we agree on what to automate, I'll build a system around the tools you already use. I'll test it with realistic scenarios and make adjustments before it's ready to go live.

3 I'll show you how everything works

I'll walk you through your automation so you understand what it does, how it works, and what to expect. You'll also get a short video walkthrough you can revisit anytime.

4 I'll be here after launch

My work doesn't end when your automation goes live. I'll help monitor how it's performing and provide support based on what we've agreed on. As your needs change, we can explore what else makes sense to automate.

How I work

I'm based in the Philippines and work remotely with clients. You'll communicate directly with me throughout the project, from our first conversation to launch. I keep communication straightforward, explain things in plain English, and make sure you understand what you're getting.

About

A bit about me

Frank, the person behind Repeatomate, at a coffee shop

Since 2022, I've worked remotely as an Operations Manager for independent real estate agents and real estate teams in the US. I've handled everything from managing listings and following up with leads to coordinating transactions and keeping daily operations organized. It's given me a firsthand look at how much work happens behind the scenes. Most of that work was done manually. After four years, I started wondering whether some of those repetitive tasks could be handled differently. That's what got me interested in automation, and eventually led me to start Repeatomate. The name and logo have a little piece of home in them. I'm from Pangasinan, Philippines, which was once known as Caboloan, or the land of bamboo. Bamboo grows one segment at a time, and that's how I approach building automations: start with one task, get it working properly, then build from there. That's the idea behind Repeatomate. I know what it's like to spend hours on tasks that need doing again the next day. Now, I'm learning to turn that experience into practical automations that help business owners spend more time on the work that needs their attention.

Questions

Common questions

What is Repeatomate?

Repeatomate is a one-person automation service run by me, Frank Bautista, from the Philippines. I build n8n automations for real estate agents and small service businesses, like instant lead response, lead-to-booking, and client onboarding, around the tools you already use.

How can a real estate agent respond to leads faster?

Automate the first reply. Every inquiry gets a personal confirmation in seconds, day or night, and you get an alert telling you who to call first. In my demo, leads hear back in under 3 seconds.

What is lead qualification automation?

It scores each new lead from their own answers, like timeline, financing, price range, and area, and labels it Hot, Warm, or Cold. You call the ready buyers and sellers first instead of guessing.

Do I need to switch tools?

No. I build around what you already use, like Gmail, Google Sheets, your calendar, your website form, and your CRM.

Do I need to be technical?

Not at all. I handle the setup and testing, and walk you through what it does in plain language.

Will the messages sound like a robot?

No. Replies are written in your voice and signed by you. When AI drafts something, like a social post or a quote reply, nothing goes out until you approve it.

What happens if something breaks?

I keep an eye on every automation I build and fix problems when they come up.

How much does it cost?

It depends on the task. We'll go through it on the free 30-minute call, and you'll get a clear price before any work starts.
